Quoteface — policy
Terms of Service
These terms are the agreement between you and HOPES & CO. ACCOUNTING LIMITED for your use of Quoteface. They are written in plain English on purpose: an agreement you cannot read is not an agreement you can rely on.

These terms
Quoteface is operated by HOPES & CO. ACCOUNTING LIMITED, of 14 Chanonry Road South, Elgin, Scotland, IV30 6NG. In these terms, "we" and "us" mean that company, and "you" means the person using the service.
By creating an account or using Quoteface you accept these terms. If you do not accept them, do not use the service.
These terms sit alongside the Privacy Policy, the Refund Policy, the AI Disclaimer, the Acceptable Use Policy, the Cookie Policy and the Content License. Where those documents deal with a subject in more detail, they apply to that subject.
Who can open an account
You must be 18 or over to open an account, and you confirm that when you sign up. Quoteface is not directed at children and an account may not be created for or by anyone under 18.
You may open an account as an individual or on behalf of a business. If you are acting for a business, you confirm you are authorised to accept these terms on its behalf, and "you" then means that business as well.
You may not use Quoteface if you are subject to sanctions that would make it unlawful for us to supply you, or if you have previously had an account closed by us for a breach of these terms.
Your account
Keep your password to yourself and tell us promptly if you think someone else has got into your account. You are responsible for what is done through your account, except where it results from something we did wrong.
One account is for one person or one business. Do not share credentials with people outside your business, and do not resell access.
You can close your account at any time. Closing it does not by itself cancel a paid plan — cancel the plan from Billing first, or ask us and we will do both.
What Quoteface does, and what it does not do
Quoteface takes a description of work and a figure you supply, breaks it into a proposal structure, generates wordless page layouts, and sets your text and figures over them so you can export pages to send and print.
Two things follow from how it is built, and both are commitments rather than disclaimers:
- 01Every amount, date, term and expiry that appears on a finished page is typed by you and rendered by your browser. No model draws those characters. Before any export you pass a proofreading step that shows what you entered beside what appears on the page, and you confirm each line.
- 02Quoteface never suggests what to charge. It does not comment on whether a figure is high or low, does not offer rate ranges, and does not show industry benchmarks. We hold no such data, and inventing it would mislead you.
Quoteface does not provide accounting, tax, legal or pricing advice. It does not issue invoices, does not collect payments on your behalf, and does not carry out bookkeeping or tax work. If you need advice of that kind, take it from someone qualified to give it to you.
A proposal produced with Quoteface is a document you have written. It is not a legal offer made by us, we do not warrant that it is suitable for any particular transaction, and its contents and figures are your responsibility.
Plans, prices and automatic renewal
There are three plans. The Free plan costs nothing and never charges. The Sheet plan is USD 18.00 per month or USD 173.00 per year. The Practice plan is USD 52.00 per month or USD 499.00 per year.
All prices are shown and charged in USD (United States dollars). Tax may be added at checkout depending on where you are, and the total is shown to you before you pay.
Paid plans renew automatically. A monthly plan is charged every month, and an annual plan is charged once for twelve months and then every twelve months after that, at the same price, until you cancel. The amount, the currency and the renewal period are shown immediately above the button that starts the charge.
We do not run free trials that turn into charges. A free account stays free until you choose a paid plan yourself.
If we change the price of a plan, we will tell you before the change applies to you, and the new price takes effect at your next renewal. You can cancel before then and nothing further will be charged.
If a payment fails we may retry it and will tell you. If it keeps failing, the plan reverts to Free rather than accruing a debt.
Credits
Each plan grants a number of credits at the start of each billing period: 50 on Free, 500 on Sheet and 2000 on Practice. Credits are spent on generation only — breaking a sentence into a structure costs 1, reading an uploaded image costs 2, and generating or adjusting a page layout costs 5. Typing, editing, proofreading and exporting cost nothing.
Credits are a service allowance and nothing more. They are not money, not a stored-value balance, not a deposit, not redeemable for cash, not transferable to another person or account, and they carry no monetary value in any circumstance.
Credits do not roll over. Whatever is left at the end of a billing period lapses when the next allowance is granted. There are no credit packs, no top-ups and no way to buy credits separately from a plan: if you run out, you move to a higher plan or wait for the next period.
We do not refund unused credits, and closing your account or cancelling a plan does not convert them into anything.
Cancelling
Open Billing in your account and select Cancel plan. It takes the same number of steps as subscribing, needs no reason, no phone call and no email, and takes effect immediately as an instruction not to renew.
Your plan then keeps working until the end of the period you have already paid for, and stops at the end of it. Your account returns to the Free plan and the proposals you have made stay in your account.
We do not charge a cancellation fee and we do not pro-rate a refund for the remainder of a period you have already paid for. The Refund Policy explains the exceptions.
If you would rather we cancelled it for you, write to support@hopescoaccounting.com or call +44 7955013910 and we will, without asking you to justify it.
Refunds
The Refund Policy forms part of these terms and sets out the position in full, including your statutory cancellation rights if you are a consumer.
In summary: contact us first, because most problems are fixed faster than a refund clears; where an output is defective we would rather restore the credits it consumed; and approved refunds are returned by the method you paid with.
Your content, and the licence you give us
You keep every right you already had in what you put into Quoteface — your descriptions, your scope, your terms, your figures, your uploaded images — and in the proposals you produce with it. We claim no ownership of any of it.
To run the service, you grant us a limited, non-exclusive, worldwide, royalty-free licence to host, store, copy, transmit, display and adapt your content, for the sole purposes of providing the service to you, keeping backups, and dealing with a support request you have raised. This licence exists only so we can do what you asked; it ends when your content is deleted.
This licence does not permit us to use your content to train, fine-tune or evaluate any model, to publish it, or to show it to anyone else. It is not a marketing licence and we will not read it as one.
You confirm that you have the rights to everything you upload, that it does not infringe anyone else's rights, and that any image you present as your own work is your own work. The Content License and the Acceptable Use Policy go into more detail.
Our intellectual property
The Quoteface name, the site, its design, its code and its underlying layout system belong to us or to our licensors. Using the service does not transfer any of that to you.
The page layouts generated for you, once you have set your own text over them, are yours to use, send, print, publish and sell within your own proposals, without further permission and without payment to us.
You may not copy or reverse-engineer the service, scrape it, resell access to it, or use it to build a competing product.
Acceptable use
The Acceptable Use Policy forms part of these terms. Among other things it prohibits using Quoteface to produce a quotation you have no intention of honouring, to impersonate another person or business, to claim qualifications or credentials you do not hold, or to present someone else's work as your own portfolio.
AI outputs and your responsibility
The structural breakdown Quoteface produces is a suggestion. It can be wrong, incomplete, or unsuitable for your situation, and it may reflect the limitations of the systems that produce it. You are responsible for reading it and correcting it.
Because a quotation states the operative terms of an offer, the design deliberately keeps every such term in your hands: you type the figures, you set the expiry date, you write the exclusions, and you confirm each line at the proof step before anything is exported. The AI Disclaimer sets this out in full and forms part of these terms.
Availability and changes to the service
We aim to keep Quoteface available and working, but we do not promise it will be uninterrupted or error-free. We may take it down for maintenance, and we will give notice where we reasonably can.
We may change how the service works, add features and remove them. If we remove something you rely on and that materially reduces what you are paying for, you may cancel and ask for a refund of the unused part of the period you have paid for.
Suspending an account, and rescinding this agreement
We may suspend or close an account, and rescind this agreement, if you materially breach these terms or the Acceptable Use Policy, if we are required to do so by law, or if your use puts the service or other users at risk.
Except where the breach is serious or continuing, or where the law requires immediate action, we will tell you what the problem is and give you a reasonable opportunity to put it right first.
If we rescind this agreement for a reason that is not your fault, we will refund the unused part of any period you have paid for. If we do so because of your material breach, we will not.
You may rescind this agreement at any time by cancelling your plan and closing your account.
Our liability
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be limited or excluded.
Subject to that, and where you use Quoteface for the purposes of a business, we are not liable for loss of profit, loss of business, loss of contracts, loss of anticipated savings, or any indirect or consequential loss; and our total liability arising out of or in connection with this agreement is limited to the amount you paid us in the twelve months before the event giving rise to the claim.
Where you use Quoteface as a consumer, we are responsible for loss or damage you suffer that is a foreseeable result of our breaking this agreement or failing to use reasonable care and skill. We are not responsible for loss or damage that is not foreseeable.
We are not liable for the contents of a proposal you produce, for a figure you typed, for an expiry date you set, or for the commercial outcome of a quotation you sent. Those are your document and your decisions, which is precisely why the product keeps them under your hand rather than a model's.
Your rights as a consumer
If you are a consumer, you have legal rights that these terms do not affect. Digital services must be supplied with reasonable care and skill, must match their description, and must be fit for any purpose you told us about before you bought.
If a service is not provided with reasonable care and skill, you can ask us to put it right, and if we cannot, you may be entitled to a price reduction. These rights sit alongside anything offered in the Refund Policy, not instead of it.
You also have a statutory right to cancel a distance contract within 14 days. How that interacts with a service you have started using immediately is explained in the Refund Policy.
Governing law and jurisdiction
These Terms and any dispute or claim arising out of or in connection with them (including non-contractual disputes or claims) are governed by and construed in accordance with the law of Scotland.
The Scottish courts have non-exclusive jurisdiction. Nothing in this clause affects your right, as a consumer, to bring proceedings in the courts of the country where you are resident, or to rely on mandatory consumer-protection rules of that country.
Time limits for bringing a claim
Under the Prescription and Limitation (Scotland) Act 1973, a claim in the Scottish courts must generally be raised within five years. In England and Wales the equivalent period is six years.
This is a limitation period for raising a claim. It is not a guarantee, a warranty period, or a promise that the service will work for five years.
If something goes wrong
Come to us first. Write to support@hopescoaccounting.com with what happened and what you would like us to do. We answer within one business day and we would far rather fix a problem than argue about it.
If you are resident in Scotland and your claim is for £5,000 or less, you may be able to use Simple Procedure in the Sheriff Court.
If you live in Scotland, free advice is available from consumeradvice.scot, funded by the Scottish Government. This service is available to Scottish residents only. Consumer Scotland is the statutory consumer body, and Trading Standards Scotland handles enforcement.
If you live outside Scotland, you can contact the consumer advice body in your own country, and the mandatory consumer-protection rules of your country of residence continue to apply to you.
If you paid by card and believe a charge was wrong, please raise it with us before asking your bank to reverse it. A chargeback started without contacting us costs us a fee and usually takes longer for you than an email would have.
General
If any provision of these terms is held to be invalid or unenforceable, the rest continues in force.
If we do not enforce a right straight away, that is not a waiver of it.
You may not transfer your rights under these terms to anyone else without our written agreement. We may transfer ours if the business is sold or reorganised, and we will tell you if that happens.
A person who is not a party to these terms has no right to enforce them.
We may update these terms. Where a change is material we will tell account holders by email before it takes effect, and the effective date at the top of this page will change. If you do not accept a change, cancel your plan before it takes effect.
