Acceptable Use Policy

Quoteface makes documents that go to other people and ask them for money. That puts a particular weight on honesty, so this policy starts with the rules specific to quotations before it reaches the ones every service has.

Who and what this applies to

This policy applies to everyone with an account, to everything you type or upload, and to every document you produce with Quoteface. It forms part of the Terms of Service.

You are responsible for use of your account, including by anyone in your business you allow to use it.

Rules specific to quotations

These matter more here than anywhere else, because a proposal that looks credible is easier to misuse than a plain email.

  • Do not produce a quotation you do not intend to honour. Sending a proposal for work you cannot do, will not do, or never intended to do is fraud dressed as stationery, and it is prohibited outright.
  • Do not impersonate another person or business. Do not use someone else's name, trading name, branding or address on a proposal, and do not present yourself as an agent of a business you do not represent.
  • Do not claim qualifications, memberships, accreditations, certifications or insurance you do not hold. Do not imply regulated status you do not have.
  • Do not upload someone else's work and present it as your own portfolio or as an example of your capability. Reference images must be your own work, or work you have the right to show and are describing honestly.
  • Do not state a price you know to be a bait figure, intending to substitute a different one after acceptance.
  • Do not use Quoteface to produce a document designed to be mistaken for an invoice, a demand for payment, a government notice, or a document from a bank or public authority.

A proposal made with Quoteface carries no endorsement from us, and nothing in a generated layout should be presented as verification of you, your business, or your ability to perform.

Unlawful use

Do not use Quoteface to do anything unlawful, or to plan, promote or assist anything unlawful. That includes fraud, money laundering, tax evasion, breach of sanctions, and the sale of goods or services you are prohibited from selling.

Do not use it in a way that infringes anyone's rights, including intellectual property, privacy and data protection rights.

Child safety

Any content that sexualises a child, or that depicts, promotes or facilitates child sexual abuse or exploitation, is prohibited without exception.

We report such material to the appropriate authorities, close the account immediately and without notice, and preserve the evidence. There is no warning step and no appeal for this category.

People, likeness and personal data

Do not upload an identifiable person's image without their consent. Do not upload someone's personal data — client lists, addresses, contact details, financial details — to use as material in a proposal unless you have the right to process it.

Quoteface does not generate images of people, and you may not use it to attempt to produce or alter a likeness of a real person.

Hate, harassment and harmful content

Do not use Quoteface to produce or store content that attacks, demeans or incites hatred or violence against a person or group on the basis of race, ethnicity, national origin, religion, disability, sex, gender identity, sexual orientation, age, or any other protected characteristic.

Do not use it to harass, threaten, stalk or intimidate anyone, and do not use it to produce content that promotes self-harm or violence.

Regulated subjects

Quoteface is a document layout tool with no professional oversight built into it. Do not use it to produce material in areas where a regulator governs what may be said and by whom, including:

  • Financial promotions, investment offers, credit or insurance products.
  • Medical, clinical or pharmaceutical claims, and health advice of any kind.
  • Legal advice, or documents intended to have legal effect beyond a commercial quotation.
  • Gambling, adult services, tobacco, vaping, weapons, or controlled substances.
  • Immigration, employment or housing decisions about identified individuals.

Quoting for ordinary professional work in a regulated industry is fine — a builder quoting for an extension, a bookkeeper quoting for monthly work. What is prohibited is using the tool to produce the regulated material itself.

Trade marks and copyright

Do not upload or place another party's trade mark, logo or branding on a proposal in a way that suggests association, endorsement or authorisation you do not have.

Do not upload copyright material you have no right to use. If you are showing a past project, make sure you are permitted to show it — many client contracts restrict that.

If you believe material on this service infringes your rights, write to support@hopescoaccounting.com with the material, your rights in it, and your contact details. We investigate and remove infringing material, and we close accounts that repeatedly infringe.

Abuse of the service itself

  • Do not attempt to access another account, another user's content, or any part of the system you have not been given access to.
  • Do not scrape, crawl or bulk-download the service, and do not attempt to reverse-engineer it.
  • Do not test, probe or scan the service for vulnerabilities without our written permission, and do not interfere with its availability.
  • Do not create accounts by automated means, share one account across separate businesses, or open new accounts to evade a limit or a closure.
  • Do not upload malware, or content designed to break, overload or exploit any system.
  • Do not resell access, or use the service to build a competing product.

If you find a security problem, tell us at support@hopescoaccounting.com before telling anyone else. We will work with you, we will not threaten you for a good-faith report, and we will credit you if you want us to.

What happens if you breach this policy

Depending on what happened, we may remove content, restrict a feature, suspend the account, close it, or rescind the agreement. Where the breach is serious — child safety material, fraud, or an attack on the service — we act immediately and without notice.

Otherwise we will normally tell you what the problem is and give you a reasonable opportunity to put it right first.

Where we close an account for a material breach, we do not refund the remainder of the period. Where we get it wrong and close an account that should not have been closed, we reinstate it and refund anything you lost.

We report to the authorities where the law requires it or where there is a risk to a person.

Reporting misuse

If someone is using Quoteface to impersonate you, to pass off your work as theirs, or to send quotations they do not intend to honour, tell us at support@hopescoaccounting.com or on +44 7955013910.

Include what you saw, when, and any document you received. We investigate every report and we tell you what we did about it, so far as the law allows us to.
